Privacy Policy
Who we are
SPACE. Building Design & Drafting is a building design studio based in Brisbane. This policy covers the SPACE. Client Portal at portal.spacebd.com.au. Our website at spacebd.com.au, and the enquiries you send through it, are covered by a separate privacy policy.
Who this applies to
This policy applies to anyone we give an account on the portal. That is usually our client — the person or people whose project it is — and it can also include a builder, an engineer or another consultant we invite so they can see the drawings and documents for a project they are working on.
If you were invited as a builder or a consultant, you have access to the drawings and documents for that project only. You do not see the rest of the project, and we say what we hold about you below.
What we collect
Your account. An email address and a password, which you set yourself. We never see your password — it is stored by our sign-in provider in a form we cannot read.
Your contact details. Your name, your email address, and your phone number and company name where you give them to us.
Your project. The project address, and the information that makes up the project itself: the drawings and documents we issue, your approvals and decisions, change requests you send us, the consultants working on the project, the project timeline, and the messages exchanged between us in the portal.
Your fee proposal. Where a fee proposal is issued to you through the portal, that includes the scope and stages, the deliverables, the timeframes, the fees, the payment milestones and any indicative third-party costs.
When you open your proposal. When you open a fee proposal we have sent you, we record that you opened it, when you first and last did so, and how many times, and we are notified the first time you open it — so we know the proposal reached you and can follow up appropriately. We do not track what you read or how long you spend on it.
Files you upload. Anything you add to a project — plans, photographs, surveys or other documents — along with its filename, file type and size.
Why we collect it
To run your project. Specifically: to let you sign in and see only your own project; to issue drawings and documents and record what you have approved; to answer your questions and keep a record of what was agreed; to prepare and issue your fee proposal; and to give a builder or consultant the drawings they need to do their part.
We also keep this information as our own business record of the work we have done.
The services we use
Supabase provides the portal's database, its sign-in, and its file storage. Your account, your project information and every file you or we upload are held there.
Resend delivers the portal's emails — the notification you get when we issue drawings, record an approval, send a fee proposal or update your project.
Vercel hosts the portal and processes basic technical information, such as your IP address, when you visit.
Google Workspace is our own email system. Replies you send to a portal notification, and copies of some notifications sent to the studio, arrive there.
We do not sell your information, and we do not share it for advertising.
Where it's stored
Your portal information is stored outside Australia, in Japan. Our Supabase database and file storage are hosted in Supabase's Northeast Asia (Tokyo) region, so your project documents, drawings, messages and fee proposal are held there rather than in Australia.
Our other providers — Resend, Vercel and Google Workspace — also store or process information outside Australia, including in the United States.
We use reputable providers with appropriate security measures in place, and access to your project is restricted to you, to anyone we have specifically invited to that project, and to SPACE.
How long we keep it
We keep your project information for as long as we need it for the project and for our business records afterwards. Building design records are worth keeping well beyond practical completion — we may need them if you extend the house later, or if a question arises about what was designed and approved.
If you were invited as a builder or a consultant, we remove your access once your involvement in the project ends.
Access, correction and deletion
You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it. Email studio@spacebd.com.au and we will respond within a reasonable time.
Some information we cannot delete on request — a signed fee proposal and the approvals recorded against your project are part of our contractual and business records. We will tell you if that applies and explain what we can remove.
If you are not happy with how we have handled a request, you can contact the Office of the Australian Information Commissioner.
Changes to this policy
If we change how we handle personal information, we will update this page and the date below.
